Before that, our relevant supervisors showed me the technical agreement discussed with the manufacturer based on the data sheets from the design institute. After watching it, they asked me to submit a feedback form, but I didn’t know what aspects I should cover in my feedback. This process is the one of technical clarification; it is very important to address all technical issues and difficulties clearly. Details such as material alternatives and product substitutions must all be verified one by one, with the representative of the design institute ultimately signing to confirm any technical clarifications or changes, however minor they may be. This is very important to avoid confusion in case problems arise later.
It’s mainly to help you see whether what the design institute has proposed is correct, or if there are any issues with the configuration that might be insufficient or inappropriate. Additionally, there is the issue of whether there are sufficient spare parts and accessories, whether it will be convenient to maintain the instruments in the future, and whether additional hardware tools or software are needed. This requires you to rely on the experience gained from daily maintenance.
In fact, when it comes to instrumentation, the first thing you need to do is determine whether the parameters provided by the design institute are correct. If technical agreements are involved as well, that becomes even more important, as these agreements constitute part of the sales contract (the technical aspects). It’s crucial to know who drafts the terms of these technical agreements; many people working in the field of instrumentation aren’t able to do this, so it’s usually the manufacturer who provides such agreements. It’s best if you can draft them yourself; if they’re prepared by the manufacturer, you must modify them according to your own requirements, and you shouldn’t let the manufacturer’s terms dictate everything. The most important aspect of a technical agreement is to ensure that the technical parameters and models of the instrumentation meet your needs. Many manufacturers claim with certainty that there will be no problems, but you shouldn’t believe them blindly – you need to compare their samples with yours to confirm that everything is fine. If there are issues, they need to be corrected. Another thing to be cautious about is the situation where some unscrupulous manufacturers agree to supply a certain model in the contract, but actually deliver products of lower quality at a lower price. Therefore, inspection is also extremely important! Hehe, it’s just my personal opinion for reference only!
The issues related to the design institute were discussed on both the 5th and 6th floors. That’s right; the drawings and specifications from the design institute also need to be verified and checked by the end user, that is, the instrument maintenance engineer. However, regarding the situation mentioned by the original poster, it should already be at the stage of negotiating a technical agreement with the manufacturer, and at this point the design documents should have been submitted to AFC long ago. In other words, the verification of the design institute’s documents should be completed prior to this time, rather than waiting until negotiations on the technical agreement with the manufacturer begin before checking those documents. This is common sense in engineering design, construction, procurement, and building.

Moreover, different manufacturers have varying management styles, so it’s best to ask questions – this helps to clarify things and prevents the manager from being upset!
In my opinion, the feedback letter can mention some issues related to the design; you can suggest some improvements, after all, you are the owner and your opinions should be taken into account regarding the design! Next is to focus on this technical agreement. Since the management has already signed it preliminarily, you can check whether there are any areas in the agreement that could be improved, or whether there are requirements that need to be raised but haven’t been done so yet, or if there are any unclear points in the agreement. In short, the focus should be on the technical agreement. You can also summarize the key points that need attention in the agreement, as well as the aspects that require special reminder and verification. It’s basically just writing a summary; it should be quite easy to do!
