Current status of equipment reception, storage, and management at the installation site of our new project: 1. The factory building has not yet been completed, nor has the warehouse been built; 2. The installation team is about to arrive on site ; 3. The equipment supplied will arrive one after another soon ; 4. The goods will be received and stored on-site. This is the first time we are doing these things, and we expect there to be many problems: 1. The equipment can only be placed in unfinished factories or warehouses once it arrives ; 2. For the inspection of the equipment upon arrival and the counting of the received items, the supply list specified in the contract is required ; 3. Equipment storage management requires stacking, etc ; 4. Equipment storage also requires management through numbering, etc. I’m not sure how others handle such matters. Regarding device storage numbering, I also feel it needs to be detailed: for example, should spare parts have separate numbering, etc.?
First, a supply list should be prepared; thereafter, the equipment that arrives should be inspected upon unboxing in accordance with this list, and the warehousing procedures should be carried out. At the same time, the equipment and its spare parts should be numbered. If spare parts are assigned separate numbers, it should be possible to determine which device’s spare part it is based on that number. Equipment that has passed inspection should be stored and kept properly to prevent damage from falling objects and to avoid stack collapses. So it’s not very safe to keep it in the factory building that is under construction. Additionally, a dedicated person needs to be assigned to manage the area where the equipment is stored, to prevent fires and theft.
Equipment that is difficult to transport should be placed near the site to facilitate its lifting into place later, such as towers, heat exchangers, and tanks. Others such as valves, elbows, and flanges should be stored together, with their specifications and numbers clearly indicated, to facilitate counting and retrieval. If the warehouse isn’t built yet, set up a temporary one.
A small addition for the friends upstairs: in addition to what has been mentioned above, the components of large-scale transmission equipment should be stored in a dedicated warehouse managed by specific personnel once they are received. And make sure to indicate it clearly on the components. Establish a sending and receiving system; otherwise, things will get chaotic.
It seems that the project planning at the owner’s site isn’t good enough – with the construction team about to start work, there isn’t even a temporary warehouse available. As the saying goes, provisions must be arranged before troops set out; in the case of new project construction, temporary construction roads, underground utility networks, temporary warehouses, temporary storage areas, as well as water and electricity supply for construction must all be considered and implemented in advance. For the acceptance of equipment, in addition to the warehouse staff being present, professional technicians are also required to assess the quality of the equipment; only after the warehouse staff confirms that both the quality and quantity are satisfactory based on the receipt note, can the process of storing the equipment be carried out. Regarding warehouse management, I’m not sure how it works in the OP’s company; in our company, items are classified by type of equipment, without distinguishing between spare parts and original components. Number management is all done in Kingdee. It is important that the warehouse provide regular reports on storage conditions to the purchasing and sales department, so that this department can adjust its procurement and payment plans.
