IPMT Working System 3.1 Monthly Meeting System: To fully leverage the leadership role of the IPMT, to keep a comprehensive overview of the project’s progress, to coordinate and resolve various issues on a regular basis, and to plan the work for the next phase, a monthly meeting system for the IPMT has been established. 3.1.1 Meeting time: Early part of each month 3.1.2 Meeting location: The site of the XX Refining Project 3.1.3 Meeting chairperson: The team leader or deputy team leader 3.1.4 Attendees: All members of IPMT, key personnel from the departments of XX Refining and Chemical Company, senior managers and project managers from various construction units, heads of invited participating units, and members of the IPMT secretariat. The special meeting system: In order to promptly address major issues that arise within a project and ensure its smooth progress, special meetings are held at the request of the IPMT team leader or deputy leader, or upon the proposal of XX Refining & Chemical Company. 3.1.1 Meeting time: To be determined as needed. 3.1.2 Meeting location: As specified in the meeting notice. 3.1.3 Meeting chairperson: the IPMT team leader, deputy leader, or a team member. 3.1.4 Participants: Some staff from the IPMT member organizations, key members and department heads of XX Refining & Chemical Company, heads of relevant construction units, and personnel from specially invited organizations. 3.1.5 Meeting agenda: Addressing major issues that arise on site, or problems that need to be resolved through the EPC turnkey contract and as submitted by the participating parties.

In addition to monthly meetings, weekly meetings, and thematic meetings, some meetings can be arranged flexibly depending on the progress of the projects. In one turnkey project I worked on previously, the project manager held project coordination meetings every two weeks at the headquarters at first ； Later, the project progressed gradually, and it was changed to being held once a week on-site ； After full operation was initiated, meetings were held every morning, turning it into a daily routine meeting.

We are the project owner. Every Monday, the person in charge of the project organizes regular project meetings with the departments within the company that are involved in the project, as well as the project supervisors. There are specific requirements regarding the participants and the agenda of these meetings; in principle, their duration should not exceed two hours. Decisions that can be made during the meeting are resolved right away, while those that cannot be decided are discussed in a smaller group meeting after the meeting, in order to avoid wasting time through unnecessary debates. Relevant technical issues, construction plans, and the like that need to be discussed and resolved through meetings are generally addressed via special meetings at any time and place. Additionally, the supervision organization holds regular meetings with the construction unit; the frequency of these meetings is usually once a week at first, with the owner’s representative on site also attending ； Regarding meetings, we used to have a meeting management regulation ； However, different units have different management models; the one that suits oneself is the best.
