I. Creating categorized dropdown list options   We often need to enter company names into tables, and to ensure consistency in these names, we used the “Data Validation” function to create categorized dropdown list options.   1. In Sheet2, enter the company names into separate columns according to their category (such as “industrial enterprises”, “commercial enterprises”, “individual businesses”, etc.) to create a database of company names.   2. Select Column A (the column containing the names of industrial enterprises). In the “Name” field, enter the characters “Industrial Enterprises”, then press the “Enter” key to confirm.   Following the same steps, name columns B, C, and so on as “Commercial Enterprises”, “Individual Enterprises”, etc. 3. Switch to Sheet1, select the column in which the “Enterprise Type” information is to be entered (such as column C), and then execute the “Data→Data Validation” command to open the Data Validation dialog box. Create a new “Frequently Used Documents” menu Add the commonly used workbook documents to this new menu on the toolbar, so they can be accessed easily at any time.   1. Right-click on an empty area of the toolbar and select the “Customize” option to open the “Customize” dialog box. In the “Commands” tab, select the “New Menu” option under “Categories”, then drag the “New Menu” located under “Commands” to the menu bar. You can use a custom sequence for sorting.   1. Execute the “Format→Options” command to open the “Options” dialog box. Go to the “Custom Sequence” tab, enter the sequence for department sorting in the box below “Enter Sequence” (such as “Office, Fleet, Workshop 1, Workshop 2, Workshop 3”, etc.), then click the “Add” and “OK” buttons to exit.   2. Select any cell in the “Department” column, then run the “Data→Sort” command to open the Sort dialog box. Click the “Options” button, which will bring up the Sort Options dialog box. Completely hide the data If you don’t want viewers to see the content in certain cells of a worksheet, you have to hide it.   1. Select the cell (or range) whose content you want to hide, then go to \"Format→Cell\" to open the \"Cell Format\" dialog box. Enable intelligent switching between Chinese and English input methods When editing tables, some cells require input in English while others need input in Chinese; switching between input methods repeatedly is quite inconvenient. Why not set things up so that the input methods can adjust automatically? Select the range of cells where Chinese text needs to be entered, then go to “Data→Data Validation”. In the “Data Validation” dialog box, switch to the “Input Method” tab. Click the drop-down button next to “Mode”, select the “Open” option, and then click “OK” to exit.   From now on, whenever any cell within the cell range where Chinese input is required is selected, the Chinese input method (the first Chinese input method in the list of input methods) will be activated automatically, while it will be deactivated automatically when other cells are selected.   IX. Use “Auto-Correct” to enter consistent text Are you often troubled by having to type certain fixed texts, such as those from the Computer Newspaper? Then keep reading.   1. Combining text using the hyphen “&” If we want to combine the contents of multiple columns into one, there is no need to use functions; a simple hyphen “&” is sufficient to achieve this (here, it is assumed that columns B, C, and D are combined into one column).   1. Insert two empty columns (E and F) after column D, then enter the formula =B1+C1&D1 in cell D1.   2. Select cell D1 again, and use the fill handle to copy the aforementioned formula to the cells below column D; thus, the contents of columns B, C, and D will be combined into the corresponding cells in column E.   3. Select column E and perform the “Copy” operation; then select column F and use the “Edit→Paste Special” command. The “Paste Special” dialog box will appear, where you should select the “Numbers” option and click “OK”. The content of column E (not the formulas) will be copied to column F.   4. Delete columns B, C, D, and E to complete the merging process.   Tip: By completing steps 1 and 2, the merging effect is achieved; however, if columns B, C, and D are deleted at this point, the formulas will produce errors. Therefore, Step 3 must be carried out to convert the formula into an immutable “value”.   13. Quickly printing student grade reports Frequently, friends ask questions like “how to print grade reports.” Many people use macros or VBA to achieve this, but it can be somewhat difficult for beginners. So, we can click the “Validity” option in the “Data” menu. On the “Settings” tab, in the “Validity Conditions” section, select “Text length” from the “Allow” dropdown menu. Then select “Equal to” from the “Data” dropdown menu, and set the “Length” to “4”. Extracting specific characters from strings Apart from entering them directly, extracting specific characters from the content of existing cells is definitely a time-saving and convenient method, especially for information with similar formats, such as employee lists or places of origin.   If we want to quickly extract the title from cell A4, it’s best to use the “=RIGHT(source_cell, number_of_characters_to_extract)” function; this means \"start extracting characters from the rightmost side of cell A4 and take 2 characters\", and enter that in this field. Of course, if you want to extract the name, then you need to use the “=LEFT(source cell, number of characters to extract)” function. There is another case where we don’t start from the left or right ends, but instead extract a few characters directly from the middle of the data. For example, if we want to extract the characters “Wuhan” from cell A5, we simply need to enter “=MID(A5,4,2)” in the target cell. It means: extract the two characters after the 4th character in cell A5, that is, the 4th and 5th characters. 21. Converting cardinal numbers to ordinal numbers Converting English cardinal numbers into ordinal numbers is a relatively complex task. Because it doesn’t follow a very fixed pattern: most numbers use the “th” suffix when turned into ordinal numbers, but those ending in “1”, “2” and “3” end in “st”, “nd” and “rd” respectively. Therefore, the conversion between cardinal and ordinal numbers is made so easily and quickly.   22. Using special symbols to fill in digits Those who have dealt with finance are aware of a conventional \"safe filling method\" used when completing records: this involves filling in the empty spaces in amounts or adding symbols such as \"$\" in front of the monetary figures. Actually, Excel also has a similar input method, which is the “REPT” function. Its basic format is “=REPT(‘special character’, number of repetitions)”. Creating Text Histograms In addition to repeated input, another application of the “REPT” function is to directly create histograms composed of pure text within a worksheet. Its principle is also very simple: it utilizes the intelligent repetition of special symbols to create varying lengths of output, based on the calculation results in the designated cells.   For example, we first prepare an annual income and expenditure statement, then use Column E as the display area for the months that remain within the budget in the histogram, and use Column G as the display area for the months that exceed the budget in the histogram. Then, based on the values in column “D” of the table, the characters are represented using the “N” character from the “Wingdings” font. The specific steps are as follows: Enter the formula “=IF(D30,REPT(„n“,ROUND(D3*100,0)),„“)” in cell E3, and also drag the fill handle to G14. We can see that a plain-text histogram, without using Excel’s chart functions, is now displayed before us – it is easy to understand and straightforward. 24. Calculating the total number of characters in a cell Sometimes, we may be interested in knowing the number of characters in a certain cell, and thus need to calculate the total number of characters within that cell. To solve this problem, in addition to using the virtual calculation of the “SUBSTITUTE” function, the “TRIM” function must also be used to remove spaces. For example, if cell A1 contains the text “how many words?”, we can use the following formula to determine this: “=IF(LEN(A1)=0,0,LEN(TRIM(A1))-LEN(SUBSTITUTE(TRIM(A1),„“,„“,„“))+1)”. This formula first uses the SUBSTITUTE function to create a new string, then applies the TRIM function to remove any spaces between characters. It then calculates the difference in length between this new string and the original string, thereby determining the number of spaces. Finally, adding 1 to this count gives us the total number of characters in the cell.   25. Conversion of Euros This is a new tool in Excel 2002. If you chose the default settings when installing Excel 2002, it is likely that you won’t be able to find it in the \"Tools\" menu. However, we can first select “Load Macro” from the “Tools” menu, then check the “Euro Tools” option in the pop-up window; after clicking “OK”, Excel 2002 will be installed automatically.   After completion, we open the “Tools” menu again and click “Euro Conversion”; a separate window dedicated to converting amounts between the euro and the currencies of EU member states appears.
