The dynamic nature of equipment and instrument archive management: before equipment is transferred or scrapped, the archives related to it change along with the changes in the equipment itself; thus, prior to such transfers or scrappings, these archives remain in a state of uncertainty. As long as this device is in use, it will continuously generate new documents and materials, and the documentation related to the device will only stop when its useful life comes to an end. Within the storage unit for the archives of a specific piece of equipment or instrument, there are written records (such as purchase reports, approvals, user manuals, etc.), drawings (such as schematic diagrams, structural diagrams, installation diagrams, diagrams of vulnerable components), forms (such as maintenance records, monthly reports, annual reports), and CDs, etc. There is no unified format, nor can any uniform regulations be established. Therefore, only by understanding and mastering the entire process of equipment use and changes, as well as identifying the key points, can archive managers carry out effective management of equipment and instrument archives. 2. Comprehensive nature: The main task in the management of enterprise equipment and instruments is to carry out comprehensive management of these devices and instruments. The archives of equipment and instruments are also part of the comprehensive management of such equipment and instruments; therefore, their management also exhibits comprehensive characteristics. The department using the equipment must submit an application to the relevant planning department, filling out the \"Application Form for Purchasing New Equipment.\" For the acquisition of large-scale equipment, equipment management and supply services are involved, as well as the preparation of an annual plan for equipment purchases; the supply department is responsible for carrying out the procurement process. The equipment documentation generated during this stage mainly includes: application forms for purchasing new equipment, feasibility study reports, equipment design reports, purchase contracts, delivery notices, receipt documents, customs declaration forms (for imported equipment), invoices, and shipping documents. (2) Equipment unpacking, installation, and commissioning phase. After the new equipment arrives at the site, the equipment supply department is responsible for notifying the equipment management department, the relevant planning departments, the quality management department, the archives department, etc. (for imported equipment, the **Inspection Bureau must also be invited). Together, they carry out the unpacking and inspection process, followed by installation and commissioning, which is carried out jointly by the user, the installation unit, the departments that will use the equipment, and the relevant functional departments. (3) Equipment usage, maintenance, and repair phases. The equipment documentation generated at this stage includes: equipment usage records, maintenance records, and technical renovation records. (4) Equipment scrapping phase. Equipment listed as fixed assets must be approved by the relevant departments before it can be scrapped. The documents and materials generated at this stage include: the equipment scrapping application form, the materials for evaluating and approving equipment scrapping, and the transfer form for handling equipment scrapping. 2. Organization of equipment and instrument archives (1) Classification should be scientific. The classification must be in line with the production and operational nature and characteristics of the organization: depending on the scale of production, the number of main manufacturing equipment, as well as the organizational structure of the enterprise, an appropriate classification method should be chosen flexibly. It is inappropriate to simply and mechanically adopt existing classification methods from other units. (2) The compilation of files should follow the logical structure of the equipment-related documents and materials, maintaining a systematic connection among them to facilitate their storage and utilization. Management documents and materials closely related to equipment, such as equipment management work plans, summaries, performance evaluations, equipment transfers, fixed asset depreciation management, and other comprehensive documents, should be included in the equipment category for filing. The documents and materials generated during equipment maintenance are compiled into separate volumes, and the accompanying documents for purchased equipment can also be compiled into separate volumes. (3) The files and the documents within them should be arranged in an organic manner. Case files related to equipment can be organized according to materials related to the equipment, unpacking and inspection of purchased equipment (design, manufacturing, and inspection of self-made equipment), equipment installation and commissioning, accompanying documents, equipment operation, and equipment maintenance. The documents in the file should be arranged with textual materials first and diagrams second. 3. Assessment of equipment archives The assessment of equipment archives involves determining the archival value of these records, selecting those of value to be retained, and discarding those that are not necessary for preservation. The value of equipment records lies first and foremost in their ability to objectively and concretely reflect, at a particular historical stage, the scale, structure, and technical level of the tools of labor – one of the three elements of social productive forces. The extent to which this condition is addressed determines the value of maintaining equipment records. The purpose for which it is used determines the archival value of the document. The appraisal of archives requires analyzing, based on the specific circumstances of each document or set of documents, the importance, validity, and completeness of the information contained on those documents, in order to scientifically determine the value of the archives and establish their retention period. 4. Storage of equipment records: There are cabinets for storing records, which are arranged neatly and systematically in the warehouse according to the principle of from left to right and from top to bottom.
