Project management: What exactly is it “managing,” and what exactly is it “organizing”? ““The project is delayed again…” “The budget is significantly overbudget…” “Team members are all doing their own thing…” Do you often hear such complaints at work as well? In fact, the root cause of these problems often points to the same core issue: 🔍 whether project management has been done properly. So, what exactly is project management supposed to “manage”? What are you reasoning about again? I. First, understand: What is the core goal of project management? In one sentence, the essence of project management is: under limited resource constraints (time, budget, manpower), using scientific methods to ensure that projects achieve their goals on time, with the required quality, and within the allocated budget. All aspects of “management” and “governance” revolve around these two core elements: limited resources + predefined goals. II. The aspect of \"management\" in project management: Risk control and delivery assurance. \"Management\" focuses on specific, quantifiable, and well-defined elements, with the core objectives being risk control and ensuring timely delivery, so as to keep the project on track. It mainly includes the following 5 aspects: 1. Managing the \"scope\" — avoid turning the project into a \"bottomless pit.\" \"At first, it’s said that only one interface will be developed, but then other interfaces and additional use cases are added…\" Scope creep is the most common cause of project failure. ✅ Defining the scope means clarifying: What to do? What not to do? 2. Manage “time”: Don’t let deadlines turn into “dead lines” – “It must be launched by next Friday!” ”——How to ensure it? ✅ Break down tasks: Use WBS to divide large projects into smaller tasks, specifying responsible persons and required time ; ✅ Scheduling plan: Use a Gantt chart to outline the sequence of tasks and key milestones ; ✅ Track progress: Regular synchronization (such as daily stand-ups) enables timely adjustments in case of delays. 3. Manage “costs”: Prevent the budget from exceeding expectations. “A budget of 1 million was set, but 1.2 million was spent yet the work isn’t finished…” ✅ Plan in advance: Create a detailed budget sheet and estimate the costs for each step ; ✅ Real-time control: Monitor expenses in real time, with immediate alerts for overspending ; ✅ Post-event review: Identify the reasons for the overspending to avoid similar mistakes in the future. 4. Manage “quality”: Don’t let “completion” turn into “perfunctory work”. The project is launched, but it has many bugs and a poor user experience… ✅ Establish standards: Define what constitutes “acceptable quality”” ; ✅ Set checkpoints: testing, review, user acceptance criteria, etc. III. The ‘principles’ of project management: focusing on ‘people’ and ‘relationships’ to streamline the collaboration process. These principles emphasize soft elements such as people, relationships, and communication, with the goal of ensuring that the team works together with a shared vision and concerted efforts. 1. Understand the “team” – prevent a “group of people” from turning into a “disorganized mess”. ✅ Define roles clearly: who is responsible for what, exactly ; ✅ Establish communication mechanisms: daily stand-ups, weekly reviews, and transparent information sharing ; ✅ Pay attention to the team’s status: Who is facing difficulties? Is there a conflict? Timely support and mediation. 2. Manage “relationships” – Don’t let stakeholders turn into obstacles. Customers, managers, collaborating departments… these are all the “relationships” that need to be clarified in a project. ✅ Identify key people: Who will influence the project? Who will be affected? ✅ Alignment expectations: What do they care most about? ✅ Proactive communication: Regularly update on progress and communicate in advance if any issues arise. 3. Understand “risks” – Prevent “accidents” from turning into “disasters” ✅ Identify risks: Brainstorm in advance and list potential problems ; ✅ Assess the impact: Is the probability of occurrence high? Are the consequences serious? ✅ Prepare a plan: Think in advance about “what to do if it happens?” ”IV. Finally: “Managing” and “organizing” are not separate tasks; rather, they complement each other🚫 Managing without organizing: The project may be completed, but the team will be exhausted and customers will be dissatisfied, with no chance for a future collaboration ; 🚫 Just \"handling\" without \"management\": No matter how good the atmosphere is, delays, cost overruns, and failure will still occur. ✅ True excellence in project management requires both: using oversight to ensure adherence to the basics – on time, with quality, and within budget – and using leadership to empower the team – by aligning goals, facilitating smooth collaboration, and enabling adaptation to changes.
