Purpose of the equipment technical documentation management system: To implement full-process management of equipment and provide the necessary equipment data for production and equipment management. Scope: These procedures apply to the management of equipment archives. Responsibilities: Engineering Department: Responsible for establishing, maintaining, and updating the technical records of key equipment ; Department in use: To provide timely feedback on various situations that occur during equipment use, and to assist equipment managers in filling out relevant records. Content: 1. For a company’s main equipment, equipment records should be established. 2. Equipment archives refer to the drawings, written descriptions, certificates, and records generated throughout the entire life cycle of a device – from design and selection, through manufacturing, installation, commissioning, operation, maintenance, modification, up to its disposal – and represent a comprehensive set of technical documents for that device, established through continuous collection, organization, and evaluation. 3. The establishment and maintenance of equipment records, as well as the collection of technical documents related to the equipment, are all managed by designated personnel in the Engineering Department. 4. The equipment file should include at least: original technical documents and handover/acceptance certificates, verification data, records of all major repairs and modifications to the equipment, inspection records, operation time records, accident records, and other relevant information. 5. The archives of special equipment shall be registered and managed in accordance with the relevant regulations issued by the Bureau of Technical Supervision and the applicable provisions. 6. Equipment records should generally be kept until the equipment is scrapped, after which the Engineering Department decides whether to destroy them or retain them based on the circumstances. 7. When borrowing technical archives of equipment, registration procedures must be followed, and such archives must not be lost or damaged.
