A problem arose during project execution: errors in the quotes were incurred because the technical requirements for the valves were not clearly defined during the bidding phase. We only discovered this issue after signing the contract. We are willing to bear the additional costs ourselves, but since the technical requirements for the valves are higher than those specified in the quote, the sub-supplier selected in the contract is unable to meet the delivery deadline. Meanwhile, the sub-suppliers that can meet the deadline are not listed among those selected in the contract. How can we persuade the client to approve the use of this new sub-supplier? The reason is that there are penalty clauses for delayed delivery, and our company does not want to bear the dual loss of increased costs along with fines.
1. Check whether there are any suppliers on the owner-approved shortlist of valve suppliers that meet the technical requirements for valves; if not, there are good reasons to apply to expand the list of suppliers. 2. If so, and the timeline is not sufficient, there is also a reason to apply to expand the list of suppliers. 3. Persuade the owner to change the supplier from the perspective of ensuring the owner’s project timeline. In fact, owners usually make more verbal threats regarding fines, with ensuring the project schedule remaining their primary goal.
