Record of instrument maintenance

A few days ago, the group came to our company for an inspection and asked for records of the maintenance of the instruments. They said that tasks such as cleaning, lubrication, and corrosion prevention all fall under maintenance. I would like to ask if anyone here has such maintenance records, and what contents they usually include? What is the frequency of maintenance?

We are a private enterprise; generally, our instruments are not sent to the quality supervision bureau for inspection – we conduct the verification ourselves
