How to do a good job in project coordination?

I’ve had some worries lately. We are a repair workshop; currently, the production workshop is under renovation, and equipment is being installed there haphazardly. Once the installation is complete, they tell us that we need power distribution, but arranging power distribution isn’t something that can be done quickly – factors such as whether cables are available and from where the power should be sourced all need to be taken into consideration. Report it to the relevant departments; it’s all the same message: production is in a hurry, so solve the problem first and then consider how to handle it. But every time, the problem is solved, yet no resolution is achieved. So now everyone is working with a lot of emotion. Experts, what should we do? Worrying! ! !
1. Be clear in attitude: these are all company tasks, and personal emotions should not be involved； 2. Communicate with the relevant departments in advance to gain their understanding and support ； 3. Try to think from the other party’s perspective ； 4. Focus on efficiency.
Thank you! I think we’re quite proactive; as long as we know there will be modifications, we make preparations in advance, and the key lies in making minor adjustments.
First of all, one must respect the other party； When communicating, focus on the matters at hand rather than personal aspects; coordination and communication should take place between companies, without any involvement of personal feelings ； When communicating, be polite first and resort to force only if necessary ； Explain all the issues, difficulties, and consequences clearly; prioritize practical matters over principles to avoid disputes later on ； After the matters have been discussed, depending on the timing or opportunity, talk about everyday things to bridge the personal gap.
Early communication among the departments responsible for project management and design is extremely important; the construction of any project requires collaboration among multiple specialties, and coordination from the initial stage of project design is crucial. It’s troublesome to try to fix the shortcomings from the earlier stage later on, but one has to accept that reality.
Is there no production coordination meeting? Aren’t any of you following the plan?
Problems can be reported, but what needs to be done must still be done well; under no circumstances should one be defiant, as this will only make things more difficult if conflicts arise.
